Office Assistant

We are currently seeking an Office Assistant with a fun and outgoing personality for a 2+ month contractual opportunity with our client in Washington, DC. In this role, you will provide operational functions within a Legal office/environment. You will operate high volume duplicating equipment, perform associated copying tasks, operate high volume document scanning equipment, operate high volume mail processing equipment. You will be responsible for shipping and receiving products and supplies, sort, distribute and handle incoming and outgoing mail/faxes, as well as applies necessary postage. This position reports directly to the Site Manager, Site Supervisor or Assistant Site Manager, depending on site personnel configuration.

Additional Responsibilities:

  • Provide copier maintenance and/or repair of customer site equipment.
  • May also perform one of the following at entry level: bindery, QC and final check, housekeeping, file services, call center representative, etc.
  • Run high volume copy machines and performs binding and finishing work.
  • Handle highly sensitive and confidential documents that may be time sensitive.
  • Provide upmost in quality work due to the sensitive nature of documents and projects that are required in a legal environment.
  • Maintain records for management reports and inventories of supplies needed.
  • Distribute office supplies, fax transmissions and mail to company personnel and/or designated drop-off points as required.
  • Calculate charges for jobs performed and maintains some billing logs.
  • Respond to and coordinate all service calls required by customer. May perform filing duties in conjunction with specific customer requests.
  • Deliver completed jobs to pre-determined customer locations within and outside of the site. Maintains daily meter and service logs. May travel between customers buildings.

Qualification:

  • Must have experience mail processing, printing, copying.
  • Must be able to handle Mail runs, conference room setup, moving chairs, arranging tables for meetings.
  • Must be able to lift up to 50 lbs. and walk long periods of time.
  • Must have strong Customer Service skills to work with all levels of personnel and managing partners/administrators
  • Experience with shipping and receiving, and mail clerk duties
